Create an Announcement

What is Announcement?

The Announcements module in KUHub displays official university notifications. Announcements are also sent via email to relevant recipients, ensuring timely communication.

Who can use announcements? Who can create announcements?

All users with a Koç University email address can view announcements on the KUHub Announcements module: Authorization is required to create and publish announcements.

Depending on the permissions, announcements created by some users are published directly, while others require approval before publication.

  • Example: A university administrator can publish announcements without approval.

  • Example: A faculty member’s announcement might require approval from the designated office before being made public.

How to create an announcement?

  • Go to https://campus.hub.ku.edu.tr.

  • Click on the "Sign in with KU NetID" button.

  • Navigate to "Communications / Announcements > Create Announcement" from the left menu.

  • Fill in the mandatory information fields.

    • Category: Select the category for your announcement (e.g., event, newsletter, registration).

    • Lists: Choose the recipient list, such as students, staff, or academics, to specify who will receive the email.

    • Template: If you'd like to use an email template, select one from the available options.

    • Sent Type: Choose the type of email you are sending—informational, update, or newsletter.

    • Schedule: (Optional) If you want to send the email at a future date, set the schedule here.

    • Publish on Digest: (Optional) If you select this option, the announcement will be added to the KU Daily bulletin after Communications approval.

    • Show on Web: Choose whether the announcement will be displayed on KUHub or just sent as an email notification.

  • After entering the mandatory information, click "Save."

  • Depending on your permissions, the created announcement will either be directly available or in "Pending" status awaiting approval.

How can I check if my created announcement is published or not?

  • Click on "Announcements > My Submissions" from the left menu.

  • On the opened page, all your created announcements will be displayed together. You can learn their status from the "Status" column.

a)       To see the reason for rejection for an announcement in "Rejected" status, click "View."

b)      In the "Reasons for Rejection" section at the bottom of the page, the user (email address) and the reason for rejection will be specified.

c)       Click "Update" to make the necessary corrections.

d)      After making the corrections, click "Update Announcement."

How do I approve/reject created announcements?

  • Click on "Announcements > Approvals" from the left menu.

  • On the opened page, all created announcements will be displayed together.

  • The ones in "Pending" status indicate they are waiting to be checked.

a) From the available options in the "Actions" column:

i. Click "View" to see the details of the announcement.

After reviewing, complete the process by clicking "Approve / Reject" button.

ii. Complete the process by clicking "Approve / Reject" button.

How to Add Announcements to KU Daily Digest

You can add announcements to the KU Daily Digest during creation. Here's how to do it:

  1. Select "Publish on Digest": When creating an announcement, check the "Publish on Digest - Optional" box to include your announcement in the KU Daily Digest.

  2. Choose Digest Audience: After selecting "Publish on Digest," two additional options will appear:

    • List: Select the appropriate audience for your announcement, choosing from Faculty, Staff, Students, or All, depending on whom you wish to reach.

  3. Set Digest Publish Date: Choose the Publish Date for your announcement to appear in the KU Daily Digest. Make sure to select a date that provides timely notice for your audience.

  4. Submit for Approval: Submit the announcement once all details are complete. If required, the announcement will be sent for approval based on your role and permissions.

  5. Confirmation: Upon approval, your announcement will be included in the KU Daily Digest and distributed to the selected audience on the date.
