Document Approval / Paraph / Sign Help Guide

  • In electronically sent documents, there are three types of approval: Paraph, Approval, and Signature. These documents sent to you can be viewed in the "Gereği" folder. In the lower right corner of the documents in the "Gereği" folder, there is information about the document's approval type.

  • When the document is displayed, you have two options: Decline and Approve / Paraph / Sign.

  • If the document content is not suitable for approval and requires editing, you should click the “Decline with update” button by clicking the arrow next to the Decline button.

  • When you click the "Decline with update" button, the document becomes editable. This allows you to perform deletion or addition operations in the relevant fields. During, deletion and addition operations, the cursor will be placed at the beginning of the modified lines and will be marked with blue. During deletion, deleted areas will be crossed out and additions will be underlined. The user who created the document will be able to see the changes you made in this way.

  • When the Approval/Paraph/Signature button is clicked, “Do you want to sign document?” question will pop up.

  • When the “Yes” button is clicked, “Do you want to add note?” question will pop up.

  • On the Add Not screen, there are three note boxes.

Distribution Note

The note that will be seen by the departments/persons selected in the distribution when the document receives its final signature/approval.


Flow Note

Flow Note: The note that will be seen by the persons selected as the paraph/signer/approver of the document.


Personal Note

The note that will only be seen by the person itself.

  • The e-signature device must be plugged into the computer for signature processes. After clicking the signature button, the e-signature screen will be opened and your certificate information will appear as follows. You must enter your e-signature pin and click the signature button.

  • After the approval/paraph/signature processes, the documents can be viewed in the "Giden" folder and you will be able to view your document from here whenever you want.
