Create Content for KU Daily Digest

Overview

KU Daily Digest is a daily email newsletter that keeps the Koç University community informed about important news, announcements, and upcoming events. You can include your content or events in the KU Daily Digest to reach your target audience effectively.

Permissions

Users with content creation or event creation permissions can add their items to KU Daily Digest. No additional authorization is required beyond your existing content/event creation permissions.

Users with KU Daily management permissions can also access the Digest Management page to review scheduled content and send preview emails.

How to Add Content to KU Daily Digest

You can add content to KU Daily Digest through two ways:

Option 1: When Creating New Content

Go to [https://campus.hub.ku.edu.tr]

Click on the "Sign in with KU NetID" button

Navigate to Campus Agenda > Content Management > Create Content from the left menu

Fill in all the required fields for your content (follow the guidelines in the "Create Content" documentation)

In the Publishing Options section on the right side:

Check the "Publish on Digest" option

Select your target audience(s) from the dropdown menu (you can select multiple):

  • Faculty

  • Staff

  • Students

Select the Digest publish date - choose the date when you want your content to appear in KU Daily

Complete all required fields in both English and Turkish

Click "Submit Your Content"

Option 2: When Creating a New Event

Go to [https://campus.hub.ku.edu.tr]

Click on the "Sign in with KU NetID" button

Navigate to Campus Agenda > Events Management > Create Event from the left menu

Fill in all the required fields for your event (follow the guidelines in the "Create an Event" documentation)

In the Publishing Options section on the right side:

Check the "Publish on Digest" option

Select your target audience(s) from the dropdown menu (you can select multiple):

  • Faculty

  • Staff

  • Students

Select the Digest publish date - choose the date when you want your event to appear in KU Daily

Complete all required fields in both English and Turkish

Click "Submit Your Event"

Managing KU Daily Digest Content

For Users with Digest Management Permissions

If you have KU Daily management permissions, you can access additional features:

Navigate to Digest Management from the left menu

On this page, you can:

  • View all scheduled content and events - See what items are scheduled for upcoming KU Daily Digests

  • Review content by date - Filter and view content scheduled for specific dates

  • Send preview emails - Send a preview of tomorrow's KU Daily Digest to test recipients

    • This allows you to review the digest before it's sent to the entire community

    • Verify formatting, content accuracy, and overall appearance

How to Send a Preview Email

Go to Digest Management

Select the date you want to preview (typically tomorrow's digest)

Click the "Send Preview Email" button

The preview will be sent to designated test recipients

Review the preview to ensure everything appears correctly

Important Considerations

Date Selection

  • Choose your Digest publish date carefully to give your audience sufficient notice

  • For events, select a date that provides adequate advance notice (at least 3-5 days recommended)

  • Avoid selecting extended date ranges to maintain the effectiveness of KU Daily

  • Select specific dates rather than long periods

Audience Targeting

  • You can select multiple audience groups (Faculty, Staff, Students)

  • Select all relevant audiences for your content

  • Be thoughtful about which groups will find your content relevant

  • Example: A faculty workshop should be targeted to Faculty only

  • Example: A campus-wide event might be targeted to Faculty, Staff, and Students

  • Consider the relevance of your announcement to each group

Content Approval

  • If your content or event requires approval, it will go through the approval process first

  • Only approved content will be included in KU Daily Digest

  • You will be notified of the approval status

  • Allow sufficient time for the approval process when planning your Digest publication date

Bilingual Requirements

  • All content must be complete in both English and Turkish

  • Translations should be accurate and culturally appropriate

  • Both versions should convey the same information and tone

For Content

Navigate to Content Management > Submitted Contents

Find your content in the list

Check that "Publish on Digest" is enabled

Verify the selected date and audience(s)

Review both language versions for completeness

For Events

Navigate to Events Management > Submitted Events

Find your event in the list

Check that "Publish on Digest" is enabled

Verify the selected date and audience(s)

Review both language versions for completeness

Using Digest Management (if you have permission)

Navigate to Digest Management

Select the date when your content should appear

Verify your content or event is listed

Send a preview email to see how it will appear

Best Practices

  • Keep publication periods short - Select specific dates rather than extended ranges

  • Target appropriately - Choose the audience(s) most relevant to your content

  • Select multiple audiences when relevant - Don't limit to one group if content applies to multiple

  • Plan ahead - Submit your content with enough time for review and approval if required

  • Follow all content guidelines - Ensure your content meets all formatting, quality, and compliance standards

  • Complete both languages - Ensure all content is available in both English and Turkish

  • Use clear titles - Write descriptive titles that clearly communicate your message

  • Provide adequate notice - Give your audience sufficient time to respond to your announcement

  • Be selective - Only use KU Daily for important announcements that warrant community-wide attention

  • Use preview feature - If you have access, send preview emails to verify appearance before publication

What Makes Good KU Daily Content?

  • Timely: Information that is relevant now or in the near future

  • Relevant: Matters that affect the selected target audience(s)

  • Actionable: Clear next steps for readers (register, apply, attend, etc.)

  • Complete: All necessary information included (who, what, when, where, why, how)

  • Professional: Well-written, proofread, and formatted according to guidelines

  • Compliant: Follows all university policies including KVKK requirements

  • Appropriately targeted: Sent to the right audience groups without over-broadcasting

Common Mistakes to Avoid

  • Selecting very long date ranges for KU Daily publication

  • Submitting content too close to the desired publication date

  • Selecting all audience groups when content is only relevant to specific groups

  • Not selecting enough audience groups when content is broadly relevant

  • Not allowing time for the approval process

  • Providing incomplete information in either language

  • Using KU Daily for routine or low-priority announcements

  • Not following content guidelines (Title Case, complete descriptions, etc.)

  • Not using the preview feature to verify content appearance (if you have access)
